NGS Innovation Summit Terms and Conditions

Registration Fee

All participants must register via the online registration system. The number of participants is limited. The registration deadline ends on 31 August 2025. Registration is subject to a registration fee. You will receive an invoice promptly after registration. Fees must be paid within 30 after invoicing. The registration fee is subject to applicable statutory value added tax of 19% resulting in a total price of 59.50 €. Finishing your registration constitutes a binding agreement, including the cancellation policy.

Registration Fee for Participants includes:

  • Admission to all sessions
  • Entrance to exhibition area
  • Light lunches and coffee breaks according to the program
  • Dinner and networking event according to the program
  • Name badge and event package

The registration fee does not include travel and accommodation. Participants are responsible for arranging and covering their own travel and accommodation costs.

Please note that your registration is only binding once payment has been received. All participants will receive a written confirmation of registration by e-mail when the registration form has been submitted, and the payment has been credited.

Registration Cancellation & Refund Policy

Notice of cancellation (e.g. in case of sickness, lack of funding or any other personal reasons) must be made in writing by e- to info.de@neb.com

Registration fees may be refunded if written cancellation is received as follows:

  • Until 31 August 2025 – a full registration fee refund will be given if requested.
  • From 01 September 2025– no refund will be given.
  • Until 19 September 2025 – a name change will be considered as a modification with no additional fee.

The date of the email receipt will be the basis for considering refunds. The notification must include all relevant information regarding the bank account to which a possible refund may be remitted. The cancellation will not be effective until a written acknowledgement from NEB GmbH is received.

No refunds will be granted for unattended events or early termination of attendance.

Modification and Cancellation of the Congress

NEB GmbH reserves the right to modify the program, which is published as an indication only. If the event is cancelled, NEB GmbH will endeavor to reimburse the registration fee. In the unlikely case that the event cannot be held due to any event beyond the organizers’ reasonable control, including (but not limited to) pandemic, civil unrest, natural disaster, adverse weather conditions, war, acts of terrorism, fire, closure of airports or acts of any government, NEB GmbH shall not be held liable for any other costs or losses incurred, such as transportation and accommodation costs, or any other direct or indirect loss or consequential damage.

In any event, NEB GmbH does not accept liability for damages or costs in the event of bodily injury, death, property damage, illness, disruption to travel plans and costs incurred as a result of events outside of the reasonable control of NEB GmbH, including (but not limited to) pandemic, civil unrest, natural disaster, adverse weather conditions, war, acts of terrorism, fire, closure of airports or acts of any government.

EMBL Heidelberg is a 10-15 minute drive from Heidelberg’s city centre and main station.

Car
EMBL is located in Meyerhofstraße in the forest (on your right, shortly after you have left Boxberg).
The Carpark P1 is located on the left hand side after turning into Meyerhofstraße.

Train and long distance bus
Heidelberg Hauptbahnhof (main train station) is located close to the city centre. It is well connected to the majority of European countries either by express or regional trains.
Public transport around Heidelberg:
The Bus 39A (direction Mombertplatz) regularly runs to EMBL from Heidelberg Hauptbahnhof (Steig L) or Alois-Link-Platz.

Airports
Frankfurt International Airport (FRA) – 82 km
The closest and most convenient airport for Heidelberg.
The Lufthansa Airport Shuttle Bus from Frankfurt International Airport to Heidelberg can be used for your transfers.
